Managing agents & teams
Managing agents & teams
Agents are the people who answer conversations. You manage them under Settings → Agents & Teams.
Adding, editing, and deleting agents is admin-only. Supervisors with the Teams permission can manage teams and members.
Add an agent
- Open Settings → Agents & Teams.
- Click Add Agent.
- Fill in Name, Email, Password (at least 6 characters), and choose a Role.
- Click Add. The agent can now sign in with that email and password.
Roles
| Role | What they can do |
|---|---|
| Admin | Full access — users, teams, inboxes, and every setting. |
| Supervisor | Monitor all agents, plus whatever the Supervisor permission set allows. |
| Agent | Handle conversations and contacts, based on the Agent permission set. |
What supervisors and agents can actually do is configurable — see Roles & permissions.
Teams
Teams let you group agents (for example by product or shift) and assign conversations to a whole team.
- In the Teams section, click Add Team and enter a Name and optional Description.
- Open the team card and use Add member to pick agents.
- Remove a member with the trash icon.
Teams require a plan that includes the teams feature. If you don't see the Teams section, it isn't part of your plan.
Two-factor authentication (2FA)
You can strengthen agent security from each agent row:
- Enroll 2FA now — show a QR code on your screen for the agent to scan with their phone. Use this to set 2FA up in person.
- Require 2FA — force the agent to set up 2FA at their next login.
- Reset 2FA — clear an agent's 2FA (for example if they lost their device).
For privacy, an admin never sees another user's 2FA secret. Agents can also manage their own 2FA under Settings → Profile.
Deleting an agent
Use the trash icon on an agent row. Deletion is a soft delete — the account is deactivated and can no longer sign in, but their message history is preserved. You cannot delete your own account.
